CatchApp Bookings can usually be connected to Xero through Zapier. The workflow is: CatchApp creates or updates a booking, Zapier receives the booking data, then Zapier creates the matching record or action in Xero.
Before you start
- A CatchApp Bookings account with at least one active event type.
- A Zapier account.
- Access to the Xero account you want to connect.
- A test booking you can use to verify the automation.
Create the Zap
- Log in to Zapier and create a new Zap.
- Choose CatchApp Bookings as the trigger app.
- Select the booking trigger that best matches your workflow, such as a new booking or updated booking.
- Connect your CatchApp account when Zapier asks for permission.
- Choose Xero as the action app.
- Map the CatchApp fields, such as invitee name, email, date, time, phone number, event type and notes, into the matching Xero fields.
- Run a test and check that the record is created correctly.
- Turn the Zap on once the test data looks right.
Recommended field mapping
- Name: attendee or invitee name.
- Email: attendee email address.
- Date and time: booking start time, plus time zone if available.
- Notes/questions: qualifying question answers or booking notes.
- Source: label the record as CatchApp Bookings so it is easy to report on later.
If Zapier cannot see the latest CatchApp sample data, create a fresh test booking and reload the trigger sample in Zapier.
